General Terms and Conditions
1. Maximum of 120 people are allowed in the main part of the hall. Up to 40 cast
members may be backstage during a performance. (fire regs)
2. Hirers are responsible for any damage or loss arising from the hiring. Damage must be
reported to the booking secretary or the treasurer promptly. The hall has small notice
boards attached to the wall. These may be used by hirers during their hire period.
Drawing pins and blu-tac must not be placed in or on the walls of the hall.
3. Hirers are responsible for leaving the hall and surroundings in a clean and tidy
condition.
A bin for Dry recyclable waste and a bin for other waste are placed in both kitchens.
Please do not mix these types of waste. An additional charge will be made for any
extra cleaning needed. After each hire please sweep the hall oor. Implements are
provided in the corridor from the little kitchen. As you leave please turn off all heaters
and lighting including kitchen and back stage.
4. Hirers using tables and chairs should return them to the storage area behind the stage.
Card tables used for catering purposes must be covered with wipe-down table cloths
stored in the little kitchen. A Large screen, laptop with projector are available on
request. WiFi is available in hall. The hall has a TV licence.
5. Hirers wishing to sell or provide alcohol must rst obtain a TEN(Temporary Event
Notice) from Herefordshire Council and must comply with all their regulations. These
include six named stewards to be present and no admission after 10.30pm.
6. The cost of heating the hall is the responsibility of the hirer. The space and water
heaters are on meters which accept £1 coins. The 3 meters are in the cupboard by the
main entrance. Please read the explanation on the meters as to what they feed.
7. Hirers are responsible for leaving the hall in a safe condition (with all appliances turned
off) and all windows/ doors secured. Smoking is not permitted in any part of of the
building.
8. KEYS are collected and returned to the LOCK BOX. Failure to do so will result in a fine of £30.
9. Hirers are advised that any personal effects and/or equipment are not insured under
the hall insurance and that they may wish to take out their own insurance. This would
also include the use of bouncy castles or similar equipment/activity for which the hirer
MUST have their own insurance.
10. FIRE REGULATIONS: At the beginning of each hire, the hirers MUST make
themselves and other users familiar with the re exit routes. They MUST check that the
routes are clear of obstructions and that they are familiar with the breathing
apparatus and the operating instructions which are next to them. No candles or naked
flames must be used. Any electrical equipment brought into the hall MUST have been
checked by the users. Flammable materials must be kept away from any ignition
source. The Hirer MUST check the Health & Safety and Fire Safety notice board in the
outside porch opposite the DEFIBRILLATOR.
11. NEVER Lock yourself or others in. Main doors are fire exits.
12. It is the RESPONSIBILITY of the hirers to ensure that appropriate action is taken over
the protection of CHILDREN and VULNERABLE ADULTS including any required DBS
checks.
